The challenge
The festival's organizing team had three weeks to print: 30 vendor identification banners (each a different vendor), 40 wayfinding yard signs (parking, restrooms, stage, food court, exit), two stage backdrops, and a branded 10×10 tent.
Vendor branding came in three rounds across two weeks — most vendors confirmed art the week of the event. Tight, with no room for shipping delays.
What we made
We set up a private upload portal so each vendor sent art directly. Our preflight caught DPI issues on six of them; we fixed five in-house and emailed one back for a redo. All 30 banners ran on a single 13oz vinyl press batch the week of.
The 40 wayfinding yard signs all used a templated 18×24 layout with the festival branding locked. Stage backdrops used 18oz blockout to handle stage lighting without bleed-through. The 10×10 tent printed on dye-sub fabric with the canopy fully customized.
The outcome
Friday morning of festival weekend, the organizer picked up everything in one trip. Total spend was 60% of what the all-online quote came in at, and every banner and sign was usable on day-of without any reprints.
Year two is already booked — same template, expanded with directional A-frames at the parking lot.
